This page explains how to ship your GPU to GPU Solutions from outside the UAE, how courier shipping costs are calculated, and what to watch for with customs and declarations. If anything is unclear, please contact us before shipping.
Quick Start (Recommended Process)
- Book first: Submit your booking here: https://gpusolutions.net/book-device
- Wait for confirmation: We may request photos or details before you ship (especially for physical damage or prior repair attempts).
- Get 2–3 courier quotes: Use the same package dimensions/weight to compare like-for-like.
- Pack correctly: Follow the packaging checklist below to avoid transit damage and customs delays.
- Declare accurately: Use clear wording such as “Graphics Card for Repair & Return”.
- Share tracking: Send your tracking number immediately after shipment.
1) How International Shipping Costs Are Calculated
International couriers typically bill using billable weight, which is the greater of: Actual Weight (what the parcel weighs) or Volumetric Weight (size-based weight).
Billable Weight
- Actual weight: measured on a scale.
-
Volumetric weight: calculated from the parcel dimensions. Common formulas:
- cm: (L × W × H) ÷ 5000
- inches: (L × W × H) ÷ 139
What Else Affects Price
- Destination zone (country/region)
- Speed (express vs economy)
- Declared value and whether you add insurance
- Remote area surcharges (some postal codes)
- Fuel surcharge (varies frequently)
- Pickup vs drop-off
Tip to Reduce Shipping Cost (Without Increasing Risk)
Keep the parcel as compact as safely possible. Oversized boxes increase volumetric weight and shipping cost. The GPU must still be protected and immobilized inside the box.
2) Customs, Duties & Clearance (Important)
Customs requirements vary by country. The guidance below is practical and commonly accepted, but you are responsible for compliance with your local export rules and UAE import requirements.
Recommended Wording for Customs
- Description: “Graphics Card sent for Repair & Return”
- Reason for shipment: “Repair”
- Condition: “Used / Faulty” (if applicable)
Declared Value: Be Accurate
Declared value can affect duties/taxes and clearance speed. Under-declaration may result in delays, penalties, or refusal. Over-declaration may increase duties and insurance cost. Use a reasonable value that you can justify.
UAE Import Charges (What To Expect)
- Customs duty: The UAE commonly applies 5% customs duty on imported goods (typically calculated on the shipment value including freight/insurance).
- De minimis threshold (Dubai courier imports): For many courier shipments into Dubai, customs duty is applied when the declared value exceeds AED 1000.
- VAT (may apply): Imports may also attract 5% VAT depending on the shipment type and classification.
- Service / processing fees: Couriers may charge additional clearance/disbursement/processing fees. These vary by courier and can be percentage-based with minimum fees.
- Important: If any UAE import duty/VAT/clearance charges are billed to GPU Solutions in order to clear or release your inbound shipment, the exact amount will be added to your bill and included in your final payment link.
Avoid These Common Customs Problems
- Declaring it as “gift” or using vague terms like “electronics” without repair context
- Shipping without an invoice/declaration document
- Using an unrealistic declared value
- Not including your booking/reference number inside the box
- Shipping batteries or other restricted items in the same parcel
HS Code Guidance (General)
HS codes can differ by country and interpretation. Ask your courier for the most commonly accepted HS code for a “graphics card for repair & return” shipment from your country to the UAE.
3) Packaging Checklist (Critical)
Shipping damage is one of the most common causes of disputes and delays. Please follow this checklist strictly.
- Anti-static protection: Place the GPU in an anti-static (ESD) bag. Do not ship loose in bubble wrap only.
- Protect the PCIe edge: Use a PCIe edge protector (or rigid cardboard protection) to prevent connector damage.
- Immobilize the GPU: Cushion all sides so the GPU cannot move inside the box.
- Double-box (recommended): Inner box + outer box with padding in between.
- No loose accessories: Do not include screws, brackets, cables, or adapters unless requested.
- Include a paper inside the box: Name, email, phone, booking/reference number, GPU model, and the fault description.
- Photograph packing: Take clear photos of the GPU and packaging steps before sealing the box.
4) Insurance & Transit Responsibility
- We recommend insuring the parcel for an appropriate declared value, especially for high-end GPUs.
- Transit loss/damage claims are handled with the courier and depend on your shipping service level and documentation.
- We are not responsible for damage caused during international transit due to insufficient packaging.
5) Return Shipping (Back to You)
After diagnosis and repair, we will share return shipping options for your address. You can choose the option that best fits your needs (speed, cost, and insurance level).
How Return Shipping Works
- We prepare your GPU for dispatch: The GPU is packed securely and we confirm the final packed weight and box dimensions.
- We share shipping options: We provide multiple courier/service options (for example: economy vs express) and, where applicable, insurance choices.
- You select your preferred option: You confirm the option you want us to use for return shipping.
- Shipping + any inbound UAE import/clearance charges are billed in the final payment link: The selected return shipping cost is added to your final payment link along with the repair charges. If any UAE import duty/VAT/clearance fees were paid to release your inbound shipment, those charges are also included.
- Dispatch after payment clears: Once payment is confirmed, we book the shipment and send you the tracking number.
Important Notes
- Return shipping pricing depends on billable weight: the greater of actual weight or volumetric weight (size-based).
- Insurance is recommended for high-value GPUs. Insurance availability and coverage terms depend on the courier and service level selected.
- Customs/duties on return shipments are determined by the destination country. Any duties/taxes or courier brokerage charges at destination are typically the customer’s responsibility.
- Address accuracy matters: please ensure your delivery address and phone number are correct to avoid delays, returns, or surcharges.
Return shipping is arranged only after the final payment link is paid and cleared. We cannot dispatch repaired GPUs with unpaid shipping or clearance charges.
6) What To Send Us Before You Ship
- Booking/reference number
- GPU model + brand (example: “ASUS Strix RTX 3090”)
- Fault description (symptoms, any prior repair attempts)
- Photos if there is physical damage, corrosion, or missing components
- Your courier and tracking number
7) Timeline Expectations
- Courier transit time: depends on service level and your country.
- Customs clearance: can add delays; accurate declarations reduce the risk.
- Repair time: depends on queue and fault complexity. We will update you after diagnosis.
8) FAQ
Should I ship in the original retail GPU box?
Original retail boxes are not designed for international courier abuse. You may place the retail box inside a properly padded outer box, but do not rely on the retail box alone.
Can you mark the item as “low value” to reduce customs?
We cannot advise or participate in inaccurate declarations. Use a reasonable declared value that you can justify.
What if customs asks for more documents?
This can happen. Work with your courier/broker first. If they require a confirmation for repair/return, we can provide basic supporting details.
Ready to Book?
Please book your repair/upgrade before shipping so your parcel can be matched to your case immediately.
Disclaimer: This page provides general shipping guidance. Customs rules, duties, restricted items, and documentation requirements vary by country and may change. You are responsible for compliance with your local export rules and the destination import requirements. Any inbound UAE import charges incurred to clear your shipment into the UAE that are billed to GPU Solutions (for example: duty, VAT, or courier clearance fees) will be passed through to you and included in the final payment link.
